Together, we're looking for a proactive Junior Office Manager who will conduct administration duties in Łódź but also support the office on the daily running. The main responsibilities of the successful employee are to ensure high levels of organisational effectiveness, communication and safety.

DUTIES AND RESPONSIBILITIES:

  • Arrange the office setup and procure supplies and tools

  • Sustain the office condition and oversee necessary maintenance work

  • Collaborate with HR to update and uphold office policies and employee paperwork as needed

  • Organize office protocols and processes for smooth operations

  • Coordinate with the IT department regarding office equipment

  • Ensure timely invoicing and payment for all items

  • Collaborate with the Office Manager in Warsaw to handle negotiations for contracts, prices, and office-related vendors and services, including office leasing

  • Offer general assistance to visitors

  • Communicate with facility management vendors, such as cleaning, catering, and security services

  • Plan and manage in-house or off-site events like parties, celebrations, and conferences

  • Engage in active collaboration with colleagues, fostering a supportive environment for mutual learning, growth, and impactful contributions

 


 REQUIREMENTS:

  • Demonstrated background as an Office Manager, Front Office Manager, or Administrative Assistant

  • Proficiency in both Polish and English languages to effectively communicate with customers, team members, and guests

  • Familiarity with office administrator responsibilities, systems, and procedures

  • Competency in MS Office applications, especially MS Excel, PowerPoint, and Outlook

  • Practical experience with office equipment such as printers

  • Strong time management skills, capable of multitasking and prioritizing tasks

  • Keen attention to detail and adept problem-solving abilities

  • Outstanding written and verbal communication skills

  • Robust organizational and planning proficiencies in a dynamic work environment

  • Innovative thinking with the capability to propose and implement improvements

  • Essential qualities include a good sense of humor, a positive demeanor, and an empathetic, inclusive, and inquisitive attitude
